Convenient document management for leasing houses
Summit leasing Slovenija d.o.o.
In 1999 the Japanese multi-national Sumitomo Corporation
Group, which employees over 33,000 people around the world,
founded the Summit Leasing Slovenija d.o.o. financing company,
which offers its customers integrated financial solutions,
from all types of leasing and credit to short-term financing
and insurance.
In the middle of 2005 Summit Leasing Slovenija employed
over 50 associates in Ljubljana, Maribor, Koper and Nova
Gorica. It concludes over 7,000 contracts per year, and has
the largest market share for car leasing in Slovenia.
With the increase in business the company had to make its
contract management more organised. Faced with two options
- taking on more staff or computerising its business operations - Summit Leasing chose the latter, as increasing its staff
would actually increase operation complexity and reduce its
competitiveness in the long-term. Summit Leasing's main objectives
are customer care, responsiveness to customer needs, and
reducing staff levels.
At the start of 2004 Summit Leasing chose SRC to introduce
a documentation system for its leasing house. The solution
is based on the Lotus Notes/Domino platform for optimal reading,
archiving and reviewing of documents, using the IMiS product
family: IMiS/Scan, IMiS/Arc and IMiS/View. Extrafax is used
for the electronic receipt and sending of faxes combined
with e-mail.
Since the day the solution was introduced all contracts
and their annexes are optically read and are accessible to
all authorised users via personal computers.
The solution has significantly reduced the time needed to
review contracts and their annexes as there is no longer
any need to access archives, or go through extra filing tasks
like attaching sections, binding documents together, etc.
When a customer calls with a question we can respond immediately,
without having to visit an archive and call back. The company
now uses far less paper, which reduces printing and copying
costs. Preparing payment is up to three times quicker, while
a legal action can be prepared in just 20 minutes.
In summer 2005 the "incoming invoices" module
came online, which Summit Leasing uses for a two level approval
process for incoming invoices via e-mail. The effective approval
time has been reduced from 30 to five minutes. At the same
time supervising every incoming invoice is now possible,
as the invoice is always saved together with data on its
status and the person who approved it.
Summit Leasing is saving over 10
million tolars a year by introducing the leasing house documentation
system.
