SPIS is an efficient system for electronic data management enabling complete electronic business, including document recording, storage and imaging, receipt and checking of electronically signed documents, electronic signatures and transmission of signed documents and connection to electronic faxing.

Implementation of the SPIS solution

At SRC the implementation of SPIS is project based, with five main phases.

Infrastructure
We make a snapshot of the existing infrastructure and collect data on frequencies and types of business events.

Business processes in the company
After the existing processes have been analysed, options for automating these processes in the client's environment are proposed. Finally, a project plan is developed based on the model of the processes identified.

Implementation
After a fundamental analysis, the implementation of various modules follows, using the parameters defined. With modular design, gradual implementation is possible. Company-specific functionalities are discussed with the client and built upon request.

Training
Well-planned and quality training of future users is the key to success. The main indicator to measure the effectiveness of a tool is the amount of usage it gets. In the actual implementation of a project, part of the necessary training is already included thus gradually preparing users for a new way of working. In practice, individual training in user-specific environments has been shown to produce excellent results.

Maintenance
Fast technological development and development of new modules make cooperation after the initial implementation indispensable. A maintenance contract typically includes:

  • technical support experts available by phone, through e-mail or on-site
  • adaptation of existing modules or development of new ones
  • functional improvement and software upgrades in the form of new versions
  • application software adjustment to changes in the system environment and operating system
  • consultation on further development of the system
